COVID-19 POLICY

To ensure the safety of our meeting attendees, the SAA board will require all SAA 87th Annual Meeting participants, exhibitors, volunteers, guests (including children 5 and older), and attendees to be fully vaccinated against COVID-19 and will require that attendees wear masks.

Updates about attending the meeting will be e-mailed with a subject line that starts with SAA87th!

Vaccination Requirement

Our vendor (42chat) handled vaccination documentation in order to protect advance registrants' privacy while ensuring that the meeting is a safe experience for those who are comfortable traveling to Chicago. All advance registrants were asked to upload proof of their vaccination status by March 16, 2022.

After March 2, 2022, only on-site registration is available. Attendees can register at the 8th Street Registration Desk Hilton Chicago lobby level. On-site registrants must provide proof of vaccination and bring a photo ID. The COVID-19 policy will apply and all registrants must be fully vaccinated before March 15, 2022, in order to attend.

At least 14 days must have passed since your last vaccine dose to be considered fully vaccinated. Therefore, you must have received the final dose of a COVID-19 vaccine prior to March 15, 2022. There will be no exceptions to this policy.

International Attendees: The documented vaccine must be one that is approved/authorized by a relevant national medical authority. Check if your vaccine has been approved by the World Health Organization.

The CDC does not recommend travel until you are fully vaccinated.

Mask Requirement

In order to facilitate the safety and comfort of all attendees at the SAA 87th Annual Meeting in Chicago, the SAA will maintain its mask mandate in our official meeting spaces (session rooms, poster and exhibit halls, staff office, and other SAA events). 

 

Different attendees have different ideas of what getting together in Chicago should look like. To help you navigate the meeting in a way that is most comfortable for individual attendees, the Board asked staff to prepare a list of events serving food and drinks.

 

That list is available below and we will include it in the Daily Update email to meeting registrants. Masking will not be mandatory at events serving food and drinks.

 

To make sure that everyone has the chance to enjoy the Exhibit Hall, on Thursday March 31, the Exhibit Hall will have mandatory masking all day (hours 9:00 am - 5:00 pm) and no food or drink will be served on Thursday for maximum accessibility. On Friday and Saturday, there will be concessions in the Exhibit Hall.

 

To make sure everyone can attend the SAA Annual Business Meeting and Awards Ceremony, we will not have a cash bar at this event and we will ask everyone to wear masks the entire time so that all members and awardees can attend.

Social Distancing

Different attendees have different comfort levels. To help you tell other attendees your comfort level, we are providing colored dots to help you greet colleagues safely and respectfully. Colored dots are available at the On-Site Registration Desk, along with ribbons, to add to badges so attendees will know how to approach and greet their fellow meeting attendees.

  • Red = socially distancing
  • Yellow = comfortable with handshakes
  • Green = giving and receiving hugs

    In session rooms, the left-hand side of the room will have seats spaced three-feet apart and the right-hand side will have more seating.

    Additional Health Care Precautions

  • Mask Mandate –  In addition to wearing a mask in the official SAA meeting spaces, currently U.S. law also requires wearing a mask at the airport and on airplanes. The City of Chicago still requires masks if you ride any public transportation.
  • General Wellness – We ask all attendees to be vigilant in monitoring their health. If you are experiencing  COVID-19 symptoms, or have been in close contact with someone who has had COVID-19 in the 14 days before the meeting, please do not attend in-person.
  • Indoor Dining Vaccination Requirement – As of this update, the city of Chicago has lifted its proof of vaccine requirement.

    Refunds and Cancellations

    After March 1 , only a registrant with a positive COVID test or other exceptional circumstance can request to roll over their registration to 2023. Please note: you still need to submit any abstract(s) or proposal to be on the 2023 program when the call for submissions opens on May 1, 2022. 

    The SAA does not issue any refunds except in the case of registrants who provide documentation that shows they cannot attend, such as a positive COVID test, visa denial, governmental travel advisory or prohibition, employer travel prohibition, or medical reason. In cases where the registrant submits this kind of documentation, up to the annual meeting, the SAA will issue a full  refund. “No shows” receive no refund.

    In the event an SAA annual meeting is canceled, meeting registration fees will automatically be applied to the next year’s annual meeting unless a full refund is specifically requested.
